Scope of Responsibility: Responsible for assisting centralized billing staff with attention directed toward collection of outstanding accounts receivable. Identify issues with account delinquencies across the system and discuss with affiliate VPs of Operations and Business Office Managers, and Greencroft Communities Management Staff.

Essential Functions:

  • Review all open accounts receivable at least monthly and initiate and participate in monthly collection communications with affiliates and related follow-up activities.
  • Perform continual follow-up on resident accounts, including A/R Aging Reports, and document understanding; support and assist affiliates with collection activities related to past due accounts receivable.
  • Process and respond to questions and inquiries relating to resident account collections.
  • Promptly assist affiliates to ensure timely application for Medicaid by residents and/or responsible parties.
  • Promptly assist affiliates with auditing of resident accounts as necessary and preparation and submission of Medicaid deviation requests.
  • Assist Greencroft Communities billing staff as needed with third-party payor billing and data input of monthly cash receipts on affiliate resident accounts.
  • Serve as liaison with collection agencies and/or legal counsel in regard to problem accounts turned over to them for collection assistance.

Scope of Responsibility: Serves as an advocate to Greencroft Middlebury residence by coordinating and responding to resident service needs and concerns.   • Report resident announcements and information for Channel 6 to the Senior Center in order to assure residents have up-to-date information and are informed of resident and Greencroft campus events and announcements. Make sure timely posting of resident programs are made.
  • In working with residents, discourage unhealthy dependence and reliance on the staff. Ensure effective resident, staff and administration relationships.
  • Attend Resident Council meetings to ensure communication between the community and the resident. Attend the Community Resident meetings.
  • Schedule volunteers for the community.
  • Oversee the work of the receptionist/secretarial position.
  • Daily, balance the cash receipts in both petty cash and cash drawers.
  • Assure that all record keeping, and cash balances are maintained appropriately and in good accounting format.

Job Description:

  • Manage the Resident Assessment Instrument (RAI) process to assess residents' individual needs to create a unique care plan based on your findings.
  • Promote cross-functional communication to ensure care plans are followed.
  • Ensure appropriate reimbursement for resident care services.
  • Be well versed with current federal, state, and local standards, guidelines and regulations.
  • Assure the timely completion of each section of the MDS by proper department, signing of the form by staff on EMR, and its resident appropriateness.
  • Confer with each department regarding any problems that occur in its sections of the MDS and arrange for re-education when necessary
  • Review diagnosis coding and sequencing with physician quarterly. Update/ clarify ICD-9 coding as appropriate.
  • Conduct weekly MDS Pre-planning and Medicare meetings to ensure timely and accurate completion.
  • Monitor and assist staff in all departments regarding EMR charting, documentation and achieving Care Plan goals in accordance with the resident’s MDS.
  • Communicate resident care plan and progress to staff, resident and family.
  • Audit sample EMR charting monthly to ascertain proper nursing charting and documentation of care given and directly confer with those employees who are not properly documenting.
  • Record, report and follow up discrepancies in documentation which are not consistent and/or do not meet program standards.
  • Work closely with the Director of Nursing and other department heads to ensure consistency in care.
  • Coordinate resident Care Plan with physical, occupational, respiratory, and speech therapy department to ensure proper care and treatment when clinically appropriate.
  • Follow up on nutritional assessments by the dietary consultants with reporting to the nursing staff and appropriate documentation.
  • Maintain the confidentiality of resident information and honor his/her personal and property rights.
  • Follow established fire, disaster, safety, infection control and evacuation policies and procedures.

Job Description:

The Info Center Attendance will provide guidance to visitors and callers to Greencroft Goshen residents, and Greencroft Goshen team members. Also function as the point of contact for all resident medical emergency calls for Goshen and Middlebury campuses. The Info Center is hub of Greencroft Goshen Campus and operates 24/7.

Duties Include:

  • Promptly answer the switchboard dispatching calls to proper extensions and/or take messages and relay them as soon as possible. Find answers to questions or direct them to the proper team member.
  • Report campus resident & business phones needing service and/or repair. Report any 911 computer problems or switchboard console alarms to the Communication Specialist.
  • Coordinate and distribution or work projects at the Information Center.
  • Oversee training of team members for Information Center responsibilities and emergency protocol.
  • Serve as an office concierge for all departments on campus. Be flexible to handle last minute requests for secretarial functions (i.e.: typing, copying, collating, faxing, etc.). Complete and submit any work orders as requested.
  • Maintain schedules for use of public rooms.
  • Be familiar with the office machines, read all manuals. Know safety guidelines and abide by them at all times. Assist others in operating equipment. Report any malfunctions to the supervisor immediately.
  • Receive and relay information relative to any and all nursing department shift call offs. Document the same according to Greencroft Goshen procedure guidelines.
  • Receive, sort, forward, transfer, and distribute resident and team member mail in a timely manner as outlined by the US Postal Service regulations and by Greencroft Goshen protocol.

Gina Martin

Employee Benevolence Fund

Gina Martin believes in paying it forward. She received help when she needed it, and now she helps others whenever she can. Gina began working for Greencroft five years ago. During her tenure, she experienced some personal problems of her own, including financial hardships. Her manager helped her apply for a gift from the Greencroft Goshen Employee Benevolence Fund. Each campus has its own fund, managed by the Greencroft Communities Foundation, and the process to apply is straightforward. To be eligible, an employee must have worked at Greencroft at least one year. They must be in good standing with no disciplinary actions or excessive absences. “I was so grateful,” Gina said. “It helped me climb out of a hole.”
